Audit Trail Walkthrough

Trace a transaction from source document to financial statement.

The Scenario

An auditor asks you to demonstrate that a R125,000 payment to a supplier can be traced from the bank statement back to the original purchase order. You need to map the entire audit trail.

The Brief

Map the complete audit trail for a purchase transaction: Purchase Requisition → Purchase Order → Goods Received Note → Supplier Invoice → Payment Authorisation → Bank Payment → General Ledger Entry → Financial Statement.

Deliverables

  • A step-by-step audit trail showing each document, who creates it, and what it proves
  • The control points at each stage (who approves, what limits apply, what matching checks occur)
  • One missing document scenario and how it would show up as an exception in an audit

Submission Guidance

Three-way matching (PO, GRN, Invoice) is the core control for purchases. If any of the three do not match, the payment should be held. Show this.
